Volunteer Enrollment Terms & Conditions

By enrolling as a volunteer of Barrackpore Sparsha Foundation, the applicant agrees to abide by the following terms and conditions:

1. Voluntary Service

Participation in the Foundation’s activities is entirely voluntary. Volunteers shall not be considered employees of the organization and shall not be entitled to any salary, wages, employment benefits, or compensation unless specifically approved by the Foundation in writing.

2. Commitment to the Foundation’s Mission

Volunteers are expected to uphold and promote the vision, mission, values, and objectives of Barrackpore Sparsha Foundation and conduct themselves in a manner that enhances the reputation of the organization.

3. Code of Conduct

Volunteers shall:

– Maintain respectful and professional behavior at all times.
– Treat beneficiaries, fellow volunteers, members, donors, and the public with dignity and respect.
– Refrain from any form of discrimination, harassment, intimidation, or misconduct.
– Follow all instructions and guidelines issued by the Foundation.

4. Attendance and Participation

Volunteers are encouraged to participate in programs, campaigns, and events organized by the Foundation. If unable to attend a scheduled activity, volunteers should inform the concerned coordinator.

5. Confidentiality

Any confidential information relating to beneficiaries, donors, members, projects, finances, or organizational matters obtained during volunteer service must not be disclosed to any unauthorized person during or after the volunteer’s association with the Foundation.

6. Use of Organization Property

Any materials, documents, equipment, identification cards, or resources provided by the Foundation shall be used solely for authorized purposes and must be returned upon request or termination of volunteer membership.

7. Representation of the Foundation

Volunteers shall not make public statements, commitments, agreements, or representations on behalf of Barrackpore Sparsha Foundation without prior authorization from the Executive Committee or designated authority.

8. Social Media and Public Communication

Volunteers shall use social media responsibly and shall not publish any content that may harm the reputation, credibility, or interests of the Foundation. Official announcements may only be made by authorized persons.

9. Protection of Beneficiaries

Volunteers shall act in the best interests of children, women, senior citizens, and all beneficiaries served by the Foundation. Any form of abuse, exploitation, neglect, or inappropriate conduct will result in immediate disciplinary action.

10. Financial and Monetary Restrictions

To maintain transparency and accountability:

– No volunteer shall collect, receive, solicit, borrow, withdraw, transfer, or handle money in the name of Barrackpore Sparsha Foundation without prior written authorization from the Executive Committee.
– Volunteers are strictly prohibited from opening, operating, or accessing any bank account, digital wallet, payment gateway, UPI account, crowdfunding platform, or financial instrument on behalf of the Foundation unless specifically authorized.
– No volunteer shall issue receipts, acknowledgements, donation certificates, or financial commitments in the name of the Foundation without official approval.
– Any donation, contribution, sponsorship, or financial assistance received for the Foundation must be immediately reported and deposited through the officially designated channels of the organization.
– Unauthorized collection or handling of funds, misuse of the Foundation’s name for financial purposes, or personal gain derived from organizational activities shall be treated as serious misconduct and may result in immediate termination of volunteer membership and appropriate legal action.

11. Conflict of Interest

Volunteers shall avoid situations where personal, professional, political, or financial interests conflict with the interests of the Foundation. Any potential conflict must be disclosed to the Executive Committee.

12. Safety and Compliance

Volunteers shall follow all safety instructions and comply with applicable laws, regulations, and organizational policies while participating in Foundation activities.

13. Disciplinary Action

The Foundation reserves the right to suspend or terminate a volunteer’s association at any time for misconduct, violation of these terms and conditions, behavior detrimental to the organization, or any action deemed inappropriate by the Executive Committee.

15. Resignation

A volunteer may discontinue their association with the Foundation by providing reasonable notice to the concerned authority.

16. Amendment of Terms

Barrackpore Sparsha Foundation reserves the right to modify, amend, or update these terms and conditions whenever necessary. Volunteers will be expected to comply with the latest version.

Declaration

I hereby declare that I have read, understood, and agreed to abide by the above Terms & Conditions of Barrackpore Sparsha Foundation. I understand that failure to comply with these conditions may result in suspension or termination of my volunteer membership.
